Contrast Software Ltd. (“ContrastHR,” “we,” “our,” or “us”) provides HR software and wellness tools that help companies manage employees, track HR processes, and engage in workplace wellness programs. We are committed to protecting your privacy and handling personal information responsibly.
This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the ContrastHR platform, wellness features, and our websites (collectively, the “Services”). By using our Services, you agree to this Policy and to our Terms of Service.

1. Scope
This Policy applies to:
  • Administrators and companies that subscribe to ContrastHR.
  • Employees and users who access HR or wellness features through their company account.
  • Visitors to our websites and marketing pages.
This Policy does not apply to third-party sites linked from our Services.

2. Information We Collect
We collect information in the following categories:
a) Company & Admin Data
  • Company name, address, phone number.
  • Admin name, email, role, login credentials.
  • Billing and subscription details.
b) Employee HR Data
  • Contact information (name, email, phone, address).
  • Employment information (job title, department, division, manager).
  • HR records (time-off balances, approvals, benefits, assets, documents).
  • Other information your company chooses to manage through ContrastHR.
c) Wellness & Challenge Data (Voluntary)
  • Participation in wellness challenges (steps, activity logs, challenge results).
  • Preferences or self-reported wellness/health information.
  • This data is voluntarily provided by users and is not medical advice.
d) Payment Data
  • Payment details (processed securely by third-party payment providers such as Square). We do not store full credit card information on our systems.
e) Technical Data
  • IP address, device/browser type, operating system.
  • Usage logs, pages visited, date/time stamps, session duration.
  • Location estimates derived from IP.

3. How We Use Information
We use information to:
  • Provide, maintain, and improve the Services.
  • Authenticate users and secure accounts.
  • Process payments and manage subscriptions.
  • Configure company settings and HR policies.
  • Deliver wellness programs and challenges (voluntary participation).
  • Communicate with admins and users about the Services.
  • Prevent fraud, misuse, or unauthorized access.
  • Comply with legal obligations.

4. Data Ownership & Roles
  • Your company owns its HR and employee data.
  • ContrastHR acts as a data processor/service provider, handling information only as necessary to provide the Services.
  • We will never sell personal data.

5. Sharing & Disclosure
We may share information with:
  • Service providers (e.g., hosting, data storage, billing, analytics, support) who are contractually bound to confidentiality.
  • Legal authorities when required by law or to protect rights, safety, or compliance.
  • Corporate transactions such as mergers, acquisitions, or reorganizations.
  • Wellness/fitness feature providers only as necessary to enable features within the Services.

6. International Transfers
If data is stored or processed outside of your home country, we will ensure protections consistent with applicable law (e.g., standard contractual clauses under GDPR, PIPEDA safeguards in Canada).

7. Data Retention
We retain data:
  • As long as your company account is active.
  • For a reasonable period after termination (e.g., 30–90 days) to allow data export.
  • Longer if required by law or regulatory compliance.

8. Security
We use industry-standard safeguards to protect information, including:
  • Encryption in transit and at rest.
  • Role-based access controls.
  • Regular monitoring and audits.
No system is 100% secure. Transmission of information is at your own risk.

9. User Rights
Depending on your jurisdiction (e.g., GDPR, CCPA, PIPEDA), users may have the right to:
  • Access a copy of their data.
  • Correct or update inaccurate information.
  • Request deletion of personal information.
  • Restrict or object to processing.
  • Port their data to another service.
  • Withdraw consent for wellness/optional data.

10. Children & Minors
The Services are intended for use by companies and their employees. They are not intended for individuals under 18. We do not knowingly collect data from minors.

11. Wellness & Health Disclaimer
  • Participation in wellness programs or challenges is voluntary.
  • Information provided is for educational purposes only and is not medical advice.
  • Users should consult a qualified healthcare provider before starting any new exercise or wellness program.
  • ContrastHR is not responsible for injuries or outcomes related to voluntary participation.

12. Changes to This Policy
We may update this Privacy Policy from time to time. If material changes occur, we will notify administrators by email or through the platform. Continued use of the Services after updates constitutes acceptance.
